Contacts - How to Create Tasks
Keeping track of your Leads up to date is essential to ensure no opportunity is forgotten. One of the most effective ways to organize your activities in the CRM is by creating tasks directly from the Lead. This way, you centralize the interaction history and define the next actions in a practical and organized manner.
1️⃣ Access the feature "Leads": Through “Find Services”. Or just type the name and the function appears.
2️⃣ Find the Desired Lead Use filters or the search bar to locate the Lead for which you want to create the task.
3️⃣ Open the Lead Record Click on the Lead's name or the edit icon to access the full record with all information and history.
4️⃣ Locate the "Tasks" Tab Inside the Lead record, look for the tab or section called Tasks. It is usually next to the contact information and interaction history.
5️⃣ Click “+ New Task” Within the Tasks, click the + New Task button to start the registration.
6️⃣ Fill in the Task Information Provide the task details, such as:
🏷️ Task Title → Clear and objective name. 👉 Ex.: “FollowUp”.
📊 Stage Define which stage the task is in:
Open → task created, not yet started.
Pending → in progress, awaiting completion.
Custom → according to the stages you configured in your task board.
📅 Due Date → Define by when it must be done. 👉 Ex.: 08/09/2025.
⚡ Priority → Low, Medium or High. 👉 Use High for urgent tasks.
👤 Responsible → Who on the team will execute it.
📌 Type → Classify: Call, Meeting, Email.
👥 Participants → Who will collaborate on the execution.
👀 Observers → Who will only follow the progress.
📂 Opportunity → Link to a service case, if necessary.
🧑💼 Contact → Filled in automatically.
💬 Service → Link to a service case, if necessary.
🖊️ Description → Detail extra information. 👉 Ex.: “Hold a FollowUp meeting with the contact”.
7️⃣ Save Task After filling in the information, click Save to complete the registration.
8️⃣ Monitor and Update The task will be recorded on the Lead and can be viewed, completed or edited at any time by the responsible team.
CONCLUSION
Creating tasks directly from the Lead record makes it easier to organize the sales team and ensures structured follow-up, with all interactions and activities concentrated in one place. Use this feature to avoid missing deadlines, prioritize opportunities and maintain a more efficient relationship with your Leads.
