Contacts - How to Archive

Contact archiving allows you to keep your database organized, removing records that should no longer take part in automations, campaigns, and platform communications.

Important:

💡 Archived Contacts are not counted toward your plan's Contact limit, helping to organize the database and optimize the contracted usage.

Check below how to archive your Contacts.

How to archive Contacts

Access the “Contacts” feature

Menu → General → Contacts Or type the name of the feature in the Find Services.

Select the Contacts

In the list, select the Contacts you want to archive.

Selection can be made:

  • Individually;

  • In bulk.

After selecting the Contacts:

  • Click on the action bar;

  • Click the option “Archive”.

Archiving rules

Contacts with open Opportunities

It is not possible to archive Contacts that are linked to open Opportunities.

This rule prevents the loss of important information and avoids interrupting ongoing negotiations.

Archived Contacts do not participate in automations

After being archived, the Contacts stop participating in any type of automation or platform communication.

This includes:

  • Automation Flows;

  • SAC;

  • CRM;

  • Message Queues;

  • Email Marketing campaigns.

This way, Contacts will remain without receiving communications until they are unarchived.

Best practices for archiving

Clean up the contact database

Use archiving to keep your database organized, removing Inactive Contacts or those that should no longer receive communications.

Review automations before archiving

Before archiving a Contact, check whether it does not participate in active automations or important flows, avoiding impacts on your communication strategy.

Create an organization routine

Carry out archiving periodically to keep the database more organized, avoid an excess of unnecessary contacts, and make your communication more assertive.

How to unarchive Contacts

The unarchiving process works in a similar way to archiving.

You can unarchive the Contacts manually, using the same selection method:

  • Select the Contacts desired;

  • Click on the action bar;

  • Click the option “Unarchive”.

Unarchiving can also be done automatically through:

  • API;

  • Chatbot;

  • Forms.

Conclusion

The archiving of Contacts is an important feature for keeping your database organized and ensuring more efficient management of records on the platform.

In addition to preventing inactive Contacts from participating in automations and communications, the archived Contacts are also not counted toward the plan's Contact limit, helping with organization and database optimization.

Before archiving, make sure the Contact does not have open Opportunities and that it does not participate in flows important to your strategy. That way, you avoid unwanted impacts and maintain more accurate communication.
